RSEA has a job opportunity for the Communications and Membership Coordinator position located in Baton Rouge. This is a part-time position with a work schedule of 9:00 am to 3:30 pm, Monday through Thursday.
A detailed job description is outlined below. Pay starts at $12.00 per hour and can be negotiated higher based on qualifications and experience.
Preference will be given to individuals who are proficient in excel and word and have experience in social media skills.

GENERAL COMMUNICATION AND OFFICE DUTIES:
1) Greet visitors
2) Answer telephone calls, assist members and callers as needed
3) Sort and distribute mail to appropriate staff member; if staff member has moved to a new position or is no longer employed by RSEA, redirect mail as appropriate
4) Attend committee and board meetings as assigned, transcribe minutes and disseminate to appropriate board members
5) Shred outdated records (dues request cards, reports, etc.) in accordance with the record retention schedule
6) copy various RSEA correspondence and or reports as requested by senior staff member or board member
7) Prepare outgoing mail using office postage meter
8) Additional duties as assigned by the administrative director, office manager, or as requested by a board member
MEMBERSHIP AND COMMUNICATION DUTIES:
1) Open mail that is particular to membership
2) Separate checks and dues request cards
3) Sort dues request cards by category (yearly, e-z pay, special fund donations)
4) Prepare checks for deposit (stamp checks and sort by denomination and category, e.g. dues or special fund donations)
5) Prepare deposit slip and excel spreadsheet report
6) Enter membership info in Solaris/RSEA database
7) Contact RSEA members pertaining to incorrect or insufficient information on dues request card as needed (lack of signature, incorrect payee, check duplication, check not submitted with dues request card, etc.)
8) Draft letter(s) for approval by the administrative director and send as appropriate
9) Prepare monthly membership reports from RSEA database; prepare quarterly membership report for board meetings
10) Maintain current email addresses of members on database using Constant Contact software and capture this information from other sources (membership renewal cards, telephone, etc.)
11) Independently prepare and transmit, when authorized by senior staff member or board member, email blasts to all members with email addresses on file regarding pertinent subjects
12) Transfer funds (membership and donations) from PayPal to RSEA bank account
13) Draft letters for administrative director’s approval and send to members who have made donations to the special fund (foundation) within a specified timeframe established by the executive director
14) Maintain donor address listing and addresses of donors to the special fund account
15) Maintain manual lists of active state employees, associates, and hardship memberships for mailings and reporting purposes
16) Maintain “do not contact list”
17) Additional duties as assigned by administrative director and/or office manager
OTHER COMMUNICATION DUTIES:
1) Editorial assistant of the RSEA’s newsletter which includes collecting and proof-reading articles; suggesting changes as needed; coordinating production and printing under the direction of the administrative director
2) Website and Facebook maintenance including updates and changes under the direction of the administrative director
3) Additional duties as assigned by administrative director and/or office manager
4) Create a “desk manual” for this position which includes detailed instructions for all duties of this position
CHAPTER AND BOARD MEETINGS, STATEWIDE CONFERENCE, RSEA TRIP:
1) Gather and organize materials/supplies needed
2) Prepare and print evaluation forms to be completed by conference attendees and summarize results
3) Proof read documents for accuracy
4) Assist chapter presidents, board members conference coordinator, and trip chairman as needed
5) Work at events and meetings when and where needed
6) Additional duties as assigned by administrative director and/or office manager
